Hand over administrative practice requests clearly
A small handover template helps a practice team handle administrative requests consistently.

Start with one bounded request
Choose a recurring administrative task for the first workflow, such as a callback request about an existing appointment. Describe the information the team actually needs to handle it. An unrestricted text box may seem convenient, but it makes later assignment harder. Medical questions belong with the practice team through an appropriate personal channel, rather than in this administrative draft.
Build a readable template
A useful handover contains the reason, preferred contact method, available time window and current processing status. Separate information supplied by the person from internal notes. Mark missing information as unknown instead of inferring it from context. Fictional names and example details are enough to test the template; real patient information is unnecessary for this exercise.
Define ownership and the response
Choose who reviews new requests and who can take over when that person is unavailable. A callback request does not promise a call at a particular time. The visible response should make that distinction clear. Internal states might therefore be received, awaiting review, response prepared and completed. Give each state a short definition that a colleague covering the task can understand.
Test three situations
Try a complete request, a request without an available time window and a question outside the agreed scope. In each case, check whether the team can identify the next action. A personal contact route should remain visible for unclear requests. Record the follow-up questions that appeared during testing, then improve the template around those specific gaps.
Plan connections afterwards
A local template makes the workflow visible, but does not send a message or confirm an appointment. Before connecting another system, clarify the handover destination, responsibilities and handling of changes. Begin with a small process the team can inspect, and expand it once everyone can use it confidently.
